Importing your existing policies with AI ingest

Written by Nicole Saidai

Policy ingestion transforms unstructured documents into searchable, structured content. Upload a PDF and the platform extracts sections automatically—coverage criteria, prior authorization requirements, CPT codes, and metadata—then populates them into your standardized templates.

How AI-assisted ingestion works

Policy Studio learns your organization's policy format first. During initial setup, the system trains on your templates and existing documents to recognize your specific patterns. Once trained, it knows how your policies are organized and maps content to the correct fields automatically.

Headers become structured headings. Bulleted criteria maintain their hierarchy. Code tables populate as searchable tables rather than flattened text. Cross-references link to source documents. The system processes each policy in minutes, not hours.

What ingestion preserves

The process maintains the clinical and operational elements that matter:

  • Section hierarchies and heading structure

  • Bulleted and numbered list formatting

  • Tables with CPT/HCPCS codes as structured data

  • Cross-references to clinical guidelines and source documents

  • Effective dates and version history for audit trails

Prepare your source documents

Before ingesting your policy library, ensure each document includes:

  • Clear, consistent section headers

  • CPT/HCPCS codes identified in tables or lists
