Policy Studio implementation guide: start with structure

Written by Nicole Saidai

One place to draft, ingest, and structure every custom medical policy

  • Automatically structure PDFs, plain text, and legacy documents

  • Flexible digital environment for ongoing updates

  • Best-in-class rich text editor for clear writing

  • Infrastructure designed to automate internal operations and provider/member communications

Start with structure, not ingestion

The most critical decision happens before you ingest a single policy: defining your policy template structure. Taking time upfront to standardize your content architecture pays dividends.

As you prepare to ingest existing policies into Policy Studio, this is the time to audit current formatting and establish standards before migration.

The ingestion process will lock in structures and format that will be time-consuming to remediate post-launch. This assessment should occur during the discovery, before the AI-assisted ingestion begins.

This includes not only your metadata configuration and policy section names (e.g., Medical Necessity Criteria, Medical Evidence, References...), but whether you use them consistently across your entire policy library.

Assemble a small team with your policy, clinical and operations experts auditing current policy variations, drafting a standard template, and stress-testing it against edge cases before you lock it in.
